Evidence-Based Compliance

Move Beyond Simple Inspections and Make 2014 the Year of Compliance

IT IS A NEW YEAR, AND THERE IS A NEW WAY TO HANDLE COMPLIANCE. OLD, PAPER-BASED INSPECTIONS HAVE SEEN THEIR DAY. TODAY THERE IS A NEW MODEL OF COMPLIANCE. AYAWORKS TECHNOLOGY ALLOWS COMPANIES TO GET THE MOST OUT OF PIPELINE INSPECTIONS BY GATHERING AND PROCESSING DATA DIRECTLY FROM THE FIELD WITH NO FILING DELAYS. BY KNOWING WHERE A FIELD TECH WAS, AND WHEN, AYAWORKS CUSTOMERS ARE NEVER IN THE DARK ABOUT THEIR COMPLIANCE STATUS. INSPECTIONS ARE MORE ACCURATE AND VERIFIABLE. MANAGERS CAN SPEND THEIR TIME MANAGING AND IMPROVING TRAINING AND PRACTICES RATHER THAN SCRAMBLING TO MEET AUDITS. MOVE BEYOND SIMPLE INSPECTIONS AND MAKE 2014 THE YEAR OF COMPLIANCE.

How Does Compliance Differ From Inspection? We all remember the engineer’s question, “If an event occurs but we do not record it, did it really happen?” For gas pipelines the question might be restated to, “If we inspect assets, and don’t have objective data proving that we’ve been there, are we compliant?” At AyaWorks, we think compliance rests on evidence, not just effort. Consider an average paper-based survey. A field tech with a paper map walks a section of pipe. He writes notes about the walk, puts the paperwork in a folder, and moves on to the next assignment. Days or weeks later, he transcribes and uploads the information into the company’s compliance systems.

What has just been described is inspection. A tech visited a location and recorded information.
Compliance is more.

Compliance — Evidence, Timeliness, and Auditability. Compliance has three characteristics that simple inspection lacks:

  • Objective evidence of completion. An activity does not move from inspection to compliance until there is objective evidence that the task is completed. Too often a tech can walk off of centerline or lose the pipe’s path altogether. She might drive the route rather than walk, rendering the survey useless. He might fail to record necessary information about the condition of a riser. She might forget to photograph a right-of-way incursion. The AyaWorks suite tracks walks from start to completion, reporting missed tracks as well as prompting the note- and photo-taking your organization requires. AyaWorks applications help ensure that your staff collects all necessary data, then validates and reviews it for completenes.
  • Timely Reporting. Even if a tech completes a survey, the activity is not compliant until the tech reports it. Paper-based organizations struggle with surveys long-finished but not transcribed into compliance systems. AyaWorks solutions allow direct reporting from the field, so there are no more long delays and audit risks associated with late reporting.
  • Auditable Results. The ultimate test of a compliance program is auditability. Even if survey results are backed by evidence and promptly reported, compliance also requires the ability to summon the results for all surveyed assets. AyaWorks offers standard reports that support audits and can include completion metrics for any aspect of compliance.

The Benefits of Compliance, Beyond Compliance
. Being in compliance offers your organization financial benefits:

  • Let your managers manage, rather than scramble. One of the poorest uses of a manager’s time is chasing around for survey information that might prove to be incomplete or inaccurate. Comprehensive compliance lets inspection, compliance, and operations managers focus on tasks that matter for the safety and growth of the enterprise.
  • Continuous Improvement. Evidence-based reporting makes it possible to track techs as well as to track field team performance. You can then use this information to increase field productivity through additional training and other activities.
